The longer a journey becomes, the less an email search works as a dependable itinerary. A useful overview separates confirmed facts, open options, and sensitive documents.
A booking needs more than a confirmation number
Record the provider, travellers, date, local time, baggage, cancellation deadline, and payment status. Stays also need check-in time, precise address, and a contact route; tours need meeting points and age limits.

Import means review, not blind acceptance
Automatic extraction can misunderstand date formats, time zones, or names. Imported bookings should therefore arrive as drafts. A person confirms that the details belong to the right journey and stage.
Passwords, full payment details, and access tokens never belong in a booking note.
The document and the travel fact are not the same
Safe metadata is usually enough for the calendar. Original PDFs can be stored separately and more restrictively, so not every read-only guest automatically sees every document.
A monthly check saves stress
Review every booking in the next four to six weeks: times, changes, visas, transfers, and remaining payments. A smaller check before each stage is then enough.
Scenario: a connection time changes
A flight time changes and shortens a separately arranged connection. The family does not immediately alter every dependent booking. First they mark the flight as changed, check whether both flights sit on one reservation, read the provider's current notice, and then review the transfer, first accommodation night, and cancellation deadlines.
The change is only marked resolved when the new connection is confirmed in writing and every affected onward booking still works or has a documented alternative. One email is therefore not the only place where a critical change remains visible.
Decision rule: confirmed, open or action required
Call a booking confirmed only when the provider, travellers, place, local time, included service, payment status, and current change or cancellation term are evidenced. If one field is missing, it stays open. If a new notice conflicts with the saved record or puts a dependent stage at risk, it requires action.
